Customer Service Representative

Location: Victor, NY

Reports To: VP Operations & Owner

FLSA Status: NonExempt (Hourly)

Compensation: $14.00 to $20.00/hour based on experience.

Job Overview

Responsible for serving customers by providing product and service information. Resolving product and service issues, Customer Accounts handling / Management. Accounts receivable follow up, Data entry along with many other Business office detail.

Responsibilities and Duties

  1. Order entry and processing in our ERP (business) system

  2. Organization of shipping documents and procedures.

  3. Assist in book keeping, master data, and financial closings (skills will be taught).

  4. Answer all incoming phone calls in the office and provide high level customer service.

  5. Answer all phone calls within 2 rings to provide prompt service

  6. Provide support to any incoming customer inquiries (Questions regarding products, Technical support, availability, tracking numbers for shipments, Taking payments etc.)

  7. Provide an answer with a 24-hour window response back to customer for an open issue or request.

  8. Invoicing customers for daily orders, monitoring of accounts receivables

  9. Issuing Return Goods Authorizations (RGA) to customers

  10. Handling all No Charge replacement (NCR) from start to finish

  11. Manages the Accounts receivables / customer follow up in the instance of delayed remittance.

  12. Data entry of new products in to ERP system, labeling System, etc

  13. Entering new customer’s information in ERP system along with support databases for general business.

  14. Submissions of Purchase orders to Vendors

  15. Customs Duties documentation filing / tracking of import records.

  16. Manage all customer files Digitally / Physically

  17. Produce Standard Operating procedures for Business tasks (SOP)

  18. Manage Office supplies ordering / Breakroom supplies

  19. Communicate with sales staff and clients to receive feedback regarding all aspects of customers issues to improve products and service.

  20. Become very familiar with existing and new products that the business sells.

  21. Assist in creating marketing collateral for both sales and marketing functions.

  22. Clean an input product master data into systems. Take pictures, write catalog copy, fill out product add forms.

  23. Assist in book keeping for business, receipt logging, tracking.

  24. Help with necessary administrative tasks for CEO and senior leadership team.

Language Ability:

Ability to work with 4 function mathematics.  Basic math needed to do simple accounting (add, subtract, multiply, divide).

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

Computer Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Office Suite, Google.

 

Nice computer skills to have: Ship Station, InFlow inventory software, Microsoft Internet Explorer, Google Chrome, Shopify, Microsoft Project, Microsoft Access.

 

Education/Experience:

Bachelor's degree (B.A./B.S.) from four-year college or university; and four to six years related experience and/or training; or equivalent combination of education and experience.

Warehouse Associate – Inventory Preparation

Location: Victor, NY

Reports To: Consumer Customer Service and Inventory Preparation Manager

FLSA Status: NonExempt (Hourly)

Compensation: $12.00 to $15.00/hour based on experience.

 

Job Overview

Responsible for preparing inventory for warehousing and shipment. Also responsible for inventory counts, labeling, consolidation and slotting and general warehouse cleanliness.

Responsibilities and Duties

1. Labeling products for shipment and warehousing.

2. Consolidation of goods and slotting. Position is responsible to coordinate the material movement of the warehouse through consolidating and slotting stock to allocate room for incoming goods.

3. System entry of material movements and consolidation.

4. Responsible for picking, packing, shipping, and invoicing of customer orders.

5. The general cleanliness of the warehouse and inventory is a responsibility of this position.

Marketing and Ecommerce Growth Manager

Location: Victor, NY

Reports To: VP Marketing Technology

Job Overview

Uses all available marketing technologies to execute strategic vision of company to grow the business. This position will lead the growth of our ecommerce channels including but not limited to Amazon, Google, Shopify, etc.

The position is very data and metric driven. Success will be counted for achieving specific growth and profitability rates for various product lines.

Responsibilities and Duties

1. The main responsibility of the position is to achieve profitable growth of assigned product categories.

2. To perform candidate needs to be operationally proficient at the following technology (already established in the company)

a. Microsoft Excel – Minimal level expertise of 2-layer pivot tables

b. Database management including SQL Server and Microsoft Access

c. ERP systems knowledge

Resources Available to Be Successful

  • Merchandising team – Small team that builds product data and images

  • Photography team – Part of the merchandising team, all photography done in house.

  • Business analytics – We have a large variety of data that you will have access too.

  • External Marketplace Tools and Analytics – Using external vendors to accomplish marketplace specific tasks

What Does a Day Look Like

  • Review pervious day analytics and current analytics, identify trends or outliers

  • Review profitability of channels and product lines

  • Review advertising spend and efficacy and adjust where necessary (both short term and long term adjustments)

  • Review project timelines and goals.

  • Make in day marketing adjustments.

  • Assist with loading and merchandising new products.

  • Review supply chain and inventory on critical lines.

  • Review current promotions, coupons, and discounts – add, remove and adjust as necessary

  • Work on search engine optimization strategy and implementation

Skills Needed to Be Successful

1. Strong business acumen with a bias towards fast decision making based on mini income statements and intuition.

2. Constructs data bases in SQL server, access, and excel for master data, customer data and can create business metrics from master data.

3. Ability to learn and use new technology and software quickly.

4. Manage budgets, in particular in regard to ad campaigns.

5. Reviews analytics of web traffic, sales patterns, and social media to present solutions for growth to obtain a budget.

6. Screens and cleanse master product data

7. Must be hyper organized in management of data, task, and information.

Supervisory Responsibilities

Eventually manages non-supervisory employees. Is responsible for the overall direction, coordination, and evaluation of these units. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.

Bachelor's degree (B.A./B.S.) in business or analytical/quantitative science;

At least one years experience managing an Amazon seller account

At least one years experience managing social media, SEO, or other ecommerce marketing.
